PURPOSE OF THE POSITION:

To support the organization in achieving its strategic objectives by delivering effective human capital solutions across the employee lifecycle. This includes talent acquisition & retention, employee relations, performance management, learning and development, and compliance with labor legislation. The HR role serves as a key partner to management and employees, fostering a positive work environment, driving employee engagement, and ensuring the alignment of HR practices with organizational goals


KEY ACCOUNTABILITIES

  • Lead the talent acquisition process by identifying and attracting the best candidates for positions.
  • Collaborate with hiring managers to define job requirements, conduct effective interviews, and make informed hiring decisions.
  • Coordinate and administer the recruitment, selection, and induction process in accordance with policy and procedures.
  • Receive personnel requisitions and verify them against the manpower plan and budget.
  • Prepare, distribute, and place internal and external advertisements within required timeframes as per company policy and the Employment Services Act of Namibia.
  • Screen applicants according to requirements and obtain shortlists from line management.
  • Arrange and confirm interview panels and candidate attendance.
  • Prepare all interview documentation, including questionnaires and evaluations, and facilitate the interview process.
  • Conduct reference checks on suitable candidates before making offers of employment and file records for future reference.
  • Maintain records of all recruitment documentation for internal and external reference.
  • Provide feedback to unsuccessful candidates and ensure recruitment deadlines are met to improve internal satisfaction.
  • Coordinate logistics for the placement and induction of new hires and communicate induction programs to relevant stakeholders.
  • Introduce new employees to the team and ensure smooth onboarding.
  • Manage work permits for expatriates, ensuring renewals and applications are completed on time.
  • Oversee and manage the performance appraisal system to promote a high-performance culture.
  • Prepare, collect, and submit accurate and relevant payroll documentation (appointments, adjustments, terminations, etc.) monthly.
  • Administer the termination process and conduct exit interviews, analyzing outcomes and submitting documentation to payroll for processing.
  • Ensure all new employees have performance agreements and development plans in place in collaboration with line managers.
  • Identify training needs through performance assessments and communicate them to the Learning & Development Specialist.
  • Inform the L&D Consultant of all compulsory and compliance training needs, licenses, and expiration dates of new hires.
  • Assist line managers in identifying critical succession positions and communicate such information to the OD & Talent Specialist.
  • Assist with workforce planning sheets for business units and execute OD-related projects as needed.
  • Assist with Employer of Choice projects and monitor the implementation of related actions to support organizational culture and performance.
  • Conduct effective HR roadshows on a regular basis and provide innovative solutions to issues identified.
  • Generate HR-related reports and analytics to support decision-making processes.
  • Maintain confidentiality of all company documents and trade secrets.
  • Provide assistance or relief in other HR areas during periods of absence or crisis.
  • Attend to any reasonable requests made by management.
  • Report and handle cases of accidents, fire, theft, loss, damage, or contravention of regulations where possible.
  • Attend meetings, training courses, workshops, and seminars as required.
  • Adhere to company policies and procedures while maintaining company standards.
  • Guide staff on company policies and HR best practices.

Minimum Qualification & Experience Requirement:

  • Bachelor’s Degree (NQF 7)
  • At least 5–6 years of relevant experience
  • Knowledge of Namibian Labour Law and HR-related legislation
  • Familiarity with HRIS systems and proficiency in Microsoft Office applications
  • Strong organizational skills and attention to detail
