PURPOSE OF THE JOB:

To provide professional and confidential management level administrative and business support to management for operational efficiency and overall organisational success. The position is a shared function and reports directly to the Port Manager: Lüderitz.


KEY ACCOUNTABILITIES

  • Account for administrative and business functions relating to the implementation of the Namport strategy and departmental business plans.
  • Coordinate departmental activities to support management’s implementation of corporate culture strategy.
  • Ensure administrative and logistical arrangements for planned departmental engagements regarding budgeting planning and periodic reviews.
  • Facilitate assigned departmental procurement processes to ensure accurate and timely delivery.
  • Facilitate a broad variety of high-level administrative tasks for management, including accurate minute-taking at key platforms attended/chair by management members – and disseminates such minutes with follow-up on resolutions/action plans.
  • Monitors and coordinates the preparations of monthly and quarterly management reports and provides continuous updates.
  • Provides a bridge for smooth communication between the management’s office and internal/external stakeholders; demonstrate leadership to maintain credibility, trust, and support with management and staff.
  • Oversee and track execution of departmental audit findings/action plans and provide updates to ensure that all findings are timely closed off.
  • Promote sound working relationships with internal and external stakeholders to drive positive customer experience.

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s degree [NQF Level 7] in Office Administration, Business Administration or equivalent.
  • Minimum of three (3) years of relevant professional experience preferably in a corporate environment.
  • Working knowledge of relevant ERP systems (e.g., SAP) and MS Office.
  • Relationship building and customer service orientation.
  • Excellent communication (written and spoken), analytical skills with problem-solving orientation.
  • Strong attention to details and deadlines.
