PURPOSE OF THE POSITION:

Provide administrative & clerical services. Duties include ensuring accuracy & efficiency of operations, processing & monitoring the receipts of proof of deliveries & Claims for Credits. Validating Claims for processing of Credit Notes.


KEY ACCOUNTABILITIES:

  • Ensure all PODs and Claim documents are received daily.
  • Ensure that all the necessary Claim Documents - Request for Credit are attached to the signed PODs.
  • Keep excel records of independent customer claims and submit weekly checks.
  • Review, verify, and capture all Credit Notes on SAP – source document within 48 hours.
  • Manage multiple claims efficiently, prioritizing tasks and maintaining proper documentation.
  • Manage deadlines and process claims promptly to avoid delays in reimbursements or resolutions.
  • Ensure accuracy in processing claims and timely documentation of all claims.
  • Maintain and update records of claims in relevant systems or databases.
  • Communicate clearly and professionally with customers and internal teams to resolve claims efficiently and provide updates.
  • Handle sensitive financial and customer information responsibly and adhere to company policies.
  • Analyze claim data to identify trends, root causes of issues, and opportunities for improvement.
  • Verify price claims with the Key Accounts Manager to identify valid & invalid price claims.
  • Resolve complex or disputed claims by identifying solutions.
  • Identify and address potential claim issues before they escalate.
  • Download EDI claims from customer portals on a daily/weekly basis.
  • Understand the unique demands of the FMCG sector, such as fast turnaround times and high-volume transactions.
  • File and scan PODs and credit notes.
  • Assist with ad hoc requests.

QUALIFICATIONS & EXPERIENCES:

  • Grade 12 with Accounting subjects, and 2 years office Admin/Accounting Experience.
  • SAP experience would be an advantage.
  • Experience in the FMCG industry
